SUPPORTING YOUR YOUNG PERSON’S COLLEGE JOURNEY

Welcome to Coleg Sir Gâr and Coleg Ceredigion. We’re delighted your young person is joining us and beginning a new, exciting chapter in their learning journey. As a parent or guardian, you play a vital role in their success, and we’re here to work in partnership with you.

KEY INFORMATION FOR PARENTS

Regular attendance is vital to ensure academic success. The college’s attendance target is 95%. Parents of under 18 learners are contacted if a learner’s attendance is a cause for concern.

  • Absences should be logged via the Coleg Sir Gar & Coleg Ceredigion app. Learners can download the Coleg Sir Gar & College Ceredigion app from the App Store or Google Play.
  • Tutors will monitor attendance and progress throughout the year.

Our Wellbeing and Learning Support Teams provide eligible learners:

  • Referral based 1:1 mentoring and counselling
  • Additional Learning Needs (ALN) support, dependent on the needs of the learner.
  • Financial advice and transport assistance.
  • Active wellbeing activities.
  • Examination access arrangements, on request, with supporting evidence

Learners will use a range of digital platforms:

  • Google Classroom (assignments and course content).
  • College app (news, updates, and absence reporting).
  • Gmail and Google Chat for communication with staff and peers.
  • Generative artificial intelligence (AI) tools to support learning, teaching, and assessment.

Learners will be expected to follow the IT Usage Policy, when using digital platforms. Please encourage responsible use.

WORKING IN PARTNERSHIP WITH PARENTS & CARERS

We recognise and value the role you play in supporting your young person’s education. To strengthen this partnership, we provide:

  • Progress Reports: You’ll receive updates on achievements and concerns.
  • Consultation Evenings: Opportunities to speak with tutors.
  • Online Resources: Stay informed via our website, social media, and the College app.
  • Shared Approach to Positive Behaviour: We ask parents and carers to actively support our Positive Behaviour Policy, including our commitment to restorative justice, to help create a respectful and inclusive college community.

COMMUNICATION EXPECTATIONS

In line with our College Communication Strategy, we are committed to respectful, timely, and effective communication with all stakeholders, including parents and guardians.

  • Inclusive and Kind: Communication is warm, clear, and supportive.
  • Bilingual: All official communications are issued in both Welsh and English.
  • Accessible: Plain language is used to ensure clarity.
  • Email: Preferred method for general queries.
  • Phone: For urgent matters or pastoral concerns.
  • Meetings: Can be arranged virtually or on-site with advance notice.
  • Staff will respond to parent communications within 5 working days, within term time.
  • For urgent safeguarding or wellbeing concerns, please contact the campus office immediately.

We ask all parents to:

  • Be courteous and constructive in all interactions.
  • Understand that staff cannot always respond immediately. Our typical working hours are Monday to Thursday 08:30-17:00 and Friday 08:30-16:30.
  • Understand that some staff work on a part-time basis, therefore may take longer to respond to any communication.
  • Use the appropriate communication channels (email/phone/campus office).
  • Be mindful of the volume and frequency of communications, ensuring that messages are proportionate, necessary, and respectful of staff time and capacity.

Abusive, aggressive, or inappropriate communication will not be tolerated and will be addressed according to our policies.

FREQUENTLY ASKED QUESTIONS

  • They should speak with their tutor in the first instance. Additional support is available through our Wellbeing and ALN teams.

  • We offer eligible learners support through Education Maintenance Allowance (EMA), Welsh Government Learning Grant (WGLG), and Financial Contingency Funds.

  • Updates are posted via the College app and social media.

  • Your child should use the Prospect app to report absence.
